How Many Hotel Rooms Do I Need to Qualify for a Group Rate?

In most cases, you need at least 10 guest rooms on the same night, also known as “peak night”, to be considered a group by a hotel. Ten total room nights spread across several days may not qualify.

For example, if your attendees need:

• 6 rooms on Monday

• 12 rooms on Tuesday

• 12 rooms on Wednesday

• 4 rooms on Thursday

Your group has 12 rooms on peak and would generally qualify for a group room block.

Why book a group room block?

A negotiated room block may provide more than simply placing several reservations at the same hotel.

Depending on the property, dates, and size of your program, it may include:

A negotiated group rate

• A dedicated reservation link

• A cutoff date for attendees

• More flexible cancellation terms

• Potential concessions or upgrades

• Meeting space or event-related considerations

Availability, demand, destination, and event dates can all affect what a hotel is willing to offer. A group traveling over a high-demand weekend may receive very different terms than the same group traveling during a slower period.

Do not wait until attendees begin booking rooms individually. Once rooms are reserved outside a block, you lose leverage and may have a harder time tracking pickup, negotiating terms, or keeping your group together.
